Privacy Policy

SpeakUp by Prytaneum is deliberation infrastructure for public meetings. This policy explains what we collect, how it is used, who can see it, and the choices you have — including how to ask us to erase your contributions.
What we collect
- Account information. When you sign up we store your name and email address, and the sign-in method you used (email or Google).
- Meeting participation. Questions you ask, questions you back, chat messages, responses to prompts and polls, and a record that you attended a meeting.
- Organization activity. Meetings you organize or moderate, and settings you change.
- Technical data. Standard server logs and the cookies needed to keep you signed in and remember your theme preference.
How we use it
We use this information to run the service: to show your questions and messages to the meeting you posted them in, to let moderators queue and answer them, to keep a record of public meetings, and to keep the platform reliable and secure. We do not sell your information.
Who can see what
- Public meetings are visible to anyone, including the questions and answers on the record.
- Unlisted meetings are visible to people who have the link.
- Moderators and organizers of a meeting can see its participant list and all participation in that meeting.
- Meeting video is hosted by the provider the organizer chose (for example Zoom, Google Meet, Teams or YouTube). Your use of the video itself is covered by that provider's own privacy policy.
How long we keep it
SpeakUp is a record-keeping platform: we do not automatically delete old meetings, questions, or chat history. Meeting records are retained as part of the public record of civic deliberation.
You can ask us to erase your contributions at any time from the Privacy section of your account settings. Erasure removes the text of your questions, chat messages, and poll responses and detaches your name from them. The fact that a contribution existed remains in the record, so meeting transcripts stay complete and honest.
Services we rely on
SpeakUp is hosted on managed cloud infrastructure that stores the database and files, and sign-in can be provided by Google. These providers process data only to run the service and are bound by their own security and privacy commitments.
Cookies
We use a small number of cookies: one to keep you signed in and one to remember your light or dark theme. We do not use advertising or cross-site tracking cookies.
Your rights
You can view and correct your profile information in your account settings, and request erasure of your meeting contributions as described above. If you have a privacy question about a specific meeting, you can also contact the organization that hosted it.
Children
SpeakUp is a civic participation tool and is not directed at children under 13. If you believe a child under 13 has created an account, please contact the meeting organizer.
Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes will be announced on the site before they take effect.
